We are the data controller for the information described below.
What data we collect
When you join our mailing list or contact us, we may collect:
- Email address (required for the list)
- First name / last name
- Area (borough/town/region) and postcode (to send occasional local actions)
- Phone number (optional; we will not text you without asking first)
- Your subscription status and preferences
- Limited email analytics (e.g. opens, clicks) to improve our updates
- Basic technical data from our website (e.g. security/error logs)
We keep our forms minimal and do not collect special-category data.
How we use your data (purposes)
- To send you EAN updates, event information and calls to action
- To tailor occasional messages by location (area/postcode)
- To administer the mailing list (double opt-in, unsubscribe, list health)
- To keep our website and email systems secure and to prevent abuse
We do not sell your data.
Our legal bases
- Consent (UK GDPR Art. 6(1)(a)) for email updates and any optional fields.
You can withdraw consent at any time by clicking unsubscribe in any email or by contacting us. - Legitimate interests (Art. 6(1)(f)) for essential security, fraud prevention and service analytics needed to keep the site and list working.
Who processes your data (third parties)
We use trusted processors to run our services:
- Brevo (formerly Sendinblue) – email list management, double opt-in forms and email delivery.
- WordPress and our hosting provider – website platform and hosting.
These providers only process your data for us and under our instructions. If any provider stores data outside the UK/EEA, they use appropriate safeguards (e.g. Standard Contractual Clauses).
How long we keep your data
- Mailing-list data: until you unsubscribe or we see 24 months of inactivity, after which we remove or anonymise it.
- Routine logs/backups: kept for up to 90 days, unless we need them longer for security.
Your rights
You have the right to access, correct, delete or port your data; to restrict or object to certain uses; and to withdraw consent at any time.

You can also complain to the UK Information Commissioner’s Office (ICO) if you’re unhappy with how we’ve handled your data.
Children
Our content is aimed at adults. If you’re under 16, please ask a parent/guardian before subscribing.
How we secure your data
We use double opt-in, access controls, HTTPS, and reputable processors. Only volunteers who need access to administer the list can see subscriber data.
Changes to this notice
We may update this page from time to time. We’ll change the “Effective date” above and, if the changes are significant, we’ll flag them on our site or by email.
